Money out, with an approval

Every expense goes to a category and waits for approval; nobody approves their own. Recurring ones like rent copy themselves into a new expense awaiting approval every period.

Expenses, with category and approval

An unapproved expense can be corrected, an unpaid one voided; a paid one is never deleted, only corrected. “Paid” is the date the money left.

What you can do on Expenses

Each is a button or a form in the app; every one is tied to role permissions and logged.

Record an expense

Money going out, against a category, awaiting approval.

Approve an expense

Signs an expense off. Never your own.

Stop repeating

The expense stays; it is no longer copied each period.

Record recurring expenses

Copies every recurring expense that has come due into a new expense awaiting approval.

Edit an expense

Corrects an expense that has not been approved yet.

Void an expense

Withdraws an unpaid expense. A paid one is corrected, not removed.

Mark an expense paid

Stamps the day the money left. The date is what "paid" means here.

Reject an expense

Turns an expense down, with the reason the source never required.

Open an agreement

Records what somebody owes, in the workspace currency unless told otherwise.

How it connects to other modules

Expenses is part of the Finance module and uses the same customer record and permissions.
